Captovation Import Server's
versatility means it can be implemented to suit a variety of
business needs. By offering an automated system for managing your
organization’s critical business content, Import Server expands your
current document imaging system. Let’s explore three Import Server
implementations:
Importing Faxes Using Import Server

In a Fax scenario,
Import Server monitors a fax server or network appliance. After
importing faxes, Import Server sends them to Captovation Index for
data entry. Images containing bar codes can be routed to Captovation
Recognition Server for automated indexing. After indexing or bar
code processing, the images are archived into the electronic
document management system.
Benefits: Although
all faxed documents bear some image degradation, scanning
faxed documents to create images further compounds the problem.
Importing Emails Using Import Server

In an Email scenario,
Import Server monitors one or more email inboxes, importing
emails—their contents and any attachments—as they are received.
Import Server converts non-image attachments to images and sends
them to Captovation Index for data entry. Images containing bar
codes can be routed to Captovation Recognition Server for automated
indexing. After indexing or bar code processing, the images are
archived into the electronic document management system.
An organization wanting to streamline order
processing might create an email inbox for all purchase orders.
Import Server would monitor this inbox, importing any attachments.
Benefits: Because
a large amount of business documents are sent via email,
implementing Import Server would only enhance an organization’s
document workflow process. Furthermore, Import Server features the
ability to write common email headings to Capture index fields.
This allows you to automatically index documents by including index
values in emails’ To, From and Subject fields.
Importing Documents Scanned on an MFD Using Import Server

This scenario takes
advantage of a Multi-Function Device common in offices today.
Captovation Import Server monitors one or more network folders,
pulls in images scanned on the MFD, and routes them for indexing or
bar code processing on the Recognition Server. After indexing or bar
code processing, the images are archived into the electronic
document management system.
Benefits:
This scenario provides automated document importing and
processing using existing office equipment. You can easily define
and schedule batch jobs on Import Server for specific uses. The
result? No manual intervention or workflow process delays.
