Captovation Capture 5.0 New Features

Import Server 
  • Electronic Document Conversion

Features for Captovation Import Server were added to satisfy the needs of today’s companies who have become increasingly concerned with managing their content, government compliance, and document retention periods. Import Server can import and convert images and other electronic documents (PDF, MS-Word, MS-Excel, HTML, text, etc.) into Captovation Capture. The imported images can be converted into either tagged image file format (TIFF) or portable document format (PDF), which provides adequate long-term storage options for most companies. 

Additionally, Import Server includes an email provider to allow companies to incorporate email transactions into their overall document management and business workflow strategy. For example, companies can configure Import Server so that it monitors the inbox where company invoices are received.  It will then import the email and associated attachments – in this case an invoice – into Captovation Capture. In addition, email fields such as: To, From, Subject, and Date can be directly mapped to document index fields. After the documents have been indexed, they are committed (archived) into the company’s EDMS. Once committed, the invoice can be routed through the company’s appropriate workflow process for invoice approval.  Import Server offers importing support for black and white, grayscale, and color images, and works with any POP3 (post office protocol) or IMAP (internet message access protocol) compliant email server.

Web Capture
  • External Database Linking

Award-winning, Captovation Web Capture now includes the ability to link to an external database and retrieve additional index information.  For example, a user can quickly search a corporate database by customer name to retrieve and auto-populate a customer account number field.  If more than one record is found during this search, Web Capture will display a list and enable the user to select the correct database record.  The Web Capture Server performs all database searching centrally; thereby, providing a firewall friendly and efficient method for the Web Capture Client to search corporate databases across the Internet.  

In addition, the administrator program for Web Capture now runs as a JAVA applet within a web browser. This new, intuitive interface provides administrators with an easy method to create and configure scanning profiles for the Web Capture client sites.

Recognition Server
  • New Bar Code Support

Captovation Recognition Server now supports the following one-dimensional bar codes: UCC/EAN-128, Airline (IATA) 2/5, Code 32, Datalogic 2/5, Industrial 2/5, Matrix 2/5, Postnet/Planet.  

In addition to PDF 417, Recognition Server offers two-dimensional bar code support for Datamatrix as well.

Index
  • Image Thumbnail Support

Image thumbnail support is now available for both Captovation Scan and Index. Thumbnails are used to aid in the quality assurance process and for easily reordering pages within a batch.  

Other Captovation Capture 5.0 Features
  • Pick-lists Support

Additional features added to Captovation Capture include the ability for pick-lists to link to a corporate database. Pick-lists are pre-defined values that appear in a drop-down list within an index field. With this new feature, these pick-list values can all be linked and retrieved from a corporate database.  For example, users can create a customer name pick-list by retrieving all customer names from an accounting database.  In addition, pick-list fields can be associated with each other in a parent/child relationship; for example, the makes and models of cars. 

Pick-lists can also be configured in a multi-level relationship as well (e.g., great grand parents, grand parents, parents, and children). 

  • Document Output Formats

Captovation Capture 5.0 includes new document output formats for multiple-page TIFF, image-only PDF’s, and searchable PDF’s.  Unlike competitive capture solutions, there are no image output volume restrictions with Captovation Capture.  The product’s architecture has also been enhanced to allow documents to be committed into multiple systems simultaneously and in different document formats.
