Captovation Announces Integration Between eCapture and
Microsoft’s SharePoint Portal Server

Minneapolis, MN, June 25, 2002 -- Captovation, a leading provider of production-level and Internet-based document capture solutions for the Enterprise, announced today direct integration support between their flagship document and Internet-distributed capture solution eCapture, and SharePoint Portal Server developed by Microsoft®.  eCapture and SharePoint can be integrated to provide users with a complete document management solution, which includes document capture, image archiving, retrieval and document search capabilities.

SharePoint Portal Server allows users to deploy an out-of-the box portal solution that can find, create, and share all of a company’s mission critical data.  SharePoint also provides users with a browser-based interface, and can be customized to further suit their business needs.  Document management functionality is directly accessible from the Microsoft Office 2000 toolbar as well as Microsoft Windows® Explorer.

SharePoint lacks an efficient method to capture paper documents. With eCapture’s integration, SharePoint users can easily scan and index paper documents directly into a SharePoint repository. SharePoint customers can implement eCapture at their central site, or at any of their satellite offices.  For example, by using the eCapture component called ecNet, documents can be scanned and indexed at remote offices and sent across the Internet to the ecNet Server, which is typically installed at a corporation’s headquarters.  From there, the document images are committed into the respective SharePoint repository.

“eCapture now allows Microsoft SharePoint customers the ability to easily capture paper documents, and manage both electronic document files and images within a SharePoint document repository,” said Ken Peterka, President and CEO of Captovation, Inc. “The integration of the two products provides a low-cost alternative to traditional document imaging systems.”

The integration is facilitated through an eCapture Data Provider (EDP), developed by Captovation and available at no additional charge, which transfers document images from eCapture and places them into a SharePoint repository.  The eCapture component’s ecIndex, ecAutoFile Server, ecCommit Server, ecImport Server and ecNet Server are all capable of performing a document commit into SharePoint.

The integration includes a SharePoint Template Manager, which allows an administrator to define file cabinet and field mappings between eCapture and SharePoint Workspaces and Document Profiles. On a per template basis, an administrator specifies the URL (Universal Resource Locator) of a SharePoint Portal Server.  After connecting, the SharePoint Template Manager retrieves all available folders, document profiles and field names.  The administrator then correlates field names in SharePoint with available fields in eCapture, and selects a category (invoices for example) that they would like the documents to belong to once committed.  The administrator can also set up “Best Bet” keywords that will allow the user to search any index field by using the SharePoint dashboard.   The eCapture administrator can also specify within SharePoint whether or not to publish the document after it has been committed.  If the document is not published after it has been committed, other SharePoint users cannot view it.

During a document commit, the SharePoint EDP verifies that a corresponding SharePoint Enhanced Folder exists and that the fields are compatible.  It will then move the images from eCapture and into SharePoint.  Upon commit, the images are converted to either Multiple Page TIFFs (tagged image file format) or PDFs (portable document format).  For more technical information regarding the eCapture and SharePoint integration, please visit the following page on Captovation’s web site: http://www.captovation.com/manuals.htm
