MINNEAPOLIS, MN, September 5, 2007—Captovation, a developer of document capture software, today announced that Embry-Riddle Aeronautical University Worldwide Campus has purchased and will implement Captovation Web Capture at each of its campuses throughout the world. Web Capture’s distributed architecture offers Embry-Riddle a more efficient and streamlined method to capture and process documents in use by the staff at each remote location. Embry-Riddle is the world leader in teaching the science, practice, and business of aviation and aerospace. The university has a combined annual enrollment of 34,000 and maintains residential campuses offering a traditional college setting in Daytona Beach, Florida and Prescott, Arizona. In addition, Embry-Riddle has a network of more than 130 campuses throughout the world and a Web-based online (distance) learning program for civilian and military working adults. Whenever a student at any of these locations registers for a class, applies for financial aid, or requests a records update, the necessary paperwork is created and sent to the Daytona Beach headquarters to be entered into Embry-Riddle’s document management and workflow system – Oracle Imaging and Process Management (I/PM). Each campus had a different method to process and send documents to the Daytona Beach headquarters. Documents were sent via U.S. mail, which included mail from overseas locations, via fax, and as attachments within an email. These various sending methods presented multiple issues at headquarters, including the lag time between creation of documents and their delivery by postal service, degradation of document resolution due to faxing, and the inability to receive some faxes because of the disparity of fax machines and the various protocols they used. Web Capture will provide Embry-Riddle employees at all locations with a standard system to capture and index documents and electronically deliver the document images and data to headquarters. In turn, this distributed capture process will lead to improved information sharing across all campuses, the reduction of paper in Daytona Beach, and improved response time to both student and faculty record update requests. Embry-Riddle will work with their long-time systems integrator and solutions provider, Advanced Data Systems (ADS) of Florida, a Captovation Valued Added Reseller, to implement Captovation Web Capture. “Providing employees at any remote office with the ability to easily capture and index documents was what Embry-Riddle wanted and Web Capture delivered,” said Rich Mumford, vice president at ADS. “Implementing Web Capture will not disrupt Embry-Riddle’s current operations and will only enhance their current document and information processing procedures.” Employees at remote campuses will use Web Capture with either document scanners or multifunction devices to scan transcripts, applications for admission and financial aid, health insurance forms and a variety of other student and faculty documents. After scanning, student or faculty data is keyed off the image into pre-configured document index fields. Employees will also utilize Web Capture’s ability to perform database lookups (queries) across the Internet to retrieve index data. For example, when scanning student admission documents, Web Capture users will enter the student ID number into an index field and then query Embry-Riddle’s student system. After the images have been indexed, they are sent over the Internet back to the Web Capture server installed at Daytona Beach. The server then initiates the document commit (archive process) into Oracle I/PM, providing employees at any of Embry-Riddle’s campuses with web-based access to student and faculty information. “Web Capture will enable us to cost-effectively deploy document capture at our worldwide locations and it will be the impetus to improved document processing and information sharing across our organization,” said Keith Mattingly, systems analyst at Embry-Riddle. “Web Capture will speed up turnaround time for student admissions, which is core for our business. It is also critical for contractual obligations outside of the U.S., such as Europe, and supports our mission of growing globally. This provides us a tremendous cost savings in both postage and employee time,” said Dawn Heuer, associate director for imaging systems at Embry-Riddle.
