eCapture Helping Medical Billing Company Eliminate
Paper Storage Needs

Apollo Information Services is one of the largest medical billing companies in the United States. Processing medical billing for 39 hospitals with 1.5 million patient visits per year, Apollo receives over 11 million document pages yearly.  Apollo currently stores over 15 million document pages on line and counting! 

Apollo Information Services uses Bar Code software developed by Holt Systems to create coding for the medical charts.  The charts are scanned using Captovation's eCapture and ecScan volume handling software on Kodak and Bell & Howell high speed scanners.  Captovation's ecAutofile and ecCommit servers read the bar codes and index the charts into the Optika eMedia Document Management and Workflow Software for chart viewing and routing for coding and billing processes. 

Apollo has over a Terabyte of RAID Hard Disk Storage for the document images and Microsoft SQLServer 7.0 databases.  It is important to note that Apollo chose RAID for its low overall cost of maintenance and speed.  Optical Jukeboxes often are less reliable, slower and more difficult to back up than a RAID solution.  

 Apollo is very excited and proud of the solution provided to them by Holt Systems.  The system has saved Apollo over $300,000 annually in employee and storage costs alone. Apollo estimates the system has kept them from hiring an additional 10 people, eliminated storage costs, and reduced employee stress related to document handling.  

More important than direct cost savings is the reduction in time it takes for chart requests.  The time to pull charts has been reduced dramatically.  In the billing business speed equals money since every day that goes unresolved could equal a claim that will need to be written off.

Apollo currently has 100 concurrent users located in Ft. Myers, Florida and Traverse City, Michigan.  They anticipate growth to 250 concurrent users in the year 2001 and the addition of workflow and Internet scanning at the hospitals.  Workflow will eliminate the manual flow of charts for billing and place them in an electronic routing system.  Internet based scanning by the hospitals will eliminate shipping costs, speed up the time to enter documents into the Workflow and reduced effort for the hospitals. Apollo is currently the largest drop off point for UPS of Paper Documents in Ft. Myers.  The additional savings from these add-ons will exceed $500,000.

Apollo Information Services was extremely pleased with the implementation time.   The system was up and running in less than two months from the time of purchase.   Integration projects were completed on schedule and as promised.

Users were able to be trained on the use of the system in less than an hour and were excited and relieved with the system's ease of use.   IT staff was able to implement procedures for the new system easily with the training provided by Holt Systems.
